Three steps to a calmer board cycle

Aprio agenda builder: a timed board meeting agenda with the meeting materials attached to each item

1The board package builds in minutes

Aprio lets you drag the CEO’s report, the financials and the quality report onto their agenda items, then notify the board in one click. When one changes the night before, you replace it.

“[Aprio is] so flexible in posting and amending agenda materials.”Deborah L., Sr. Lead, Board Governance and External Relations

2Directors prepare wherever they are

Aprio puts the board package on any device, online or offline, with private or shared notes on every page. Each director, volunteer or appointed, gets their own training session, booked at a time that suits them.

“We began our board roll out with quick one‑on‑one training for directors from Aprio.”Louise Carlow, Board Liaison, Island Health

3Every meeting on the record

Aprio lets you track attendance, draft minutes from the agenda, run votes and collect e-signatures. Each meeting archives by date with its board package, so the record builds up as you go.

Questions health care boards ask us

Is Aprio a good board portal for health care?
Yes. Aprio is the board portal health care organizations use to build the board package, keep minutes, votes and signatures together, and hold the board record in one place, by date, for a reviewer or accreditor. Community health centers like HopeHealth in South Carolina and Premier Community HealthCare in Florida run their boards on Aprio, as do Fraser Health, Island Health and Niagara Health in Canada. Aprio includes every feature at one price, with 24/7 human support, and you choose Canadian or US hosting.
What does the HRSA reviewer look at in our health center’s minutes and board packets?
At the operational site visit (OSV), HRSA asks for your board agendas and minutes from the most recent 12 months and a sample of board packets from two of those meetings, sent at least two weeks before the visit. The Health Center Program Compliance Manual expects the board to meet monthly and to record its attendance, key actions and decisions in the minutes. Aprio tracks attendance and quorum at each meeting, and each meeting archives by date with its board packet, votes and approved minutes, so the record builds up in one place, and you pull it from there when the request comes. For the full set of requirements, see our guide to FQHC board requirements.
Will patient and volunteer board members actually use Aprio?
On a health center board, most members are the center’s own patients, serving as volunteers. Aprio gives every director a one-on-one training session, booked on their own schedule, and training stays unlimited as new members join. The board package opens on a laptop, tablet or phone, even offline, and the night-before call reaches a real person 24/7.
How does Aprio work for a Canadian hospital or health authority board?
Aprio gives the board of a Canadian hospital or health authority, and each of its committees, a space of its own, seen only by the people you add. You can choose Canadian hosting. In Ontario hospitals, the medical advisory committee reports in writing at every regular board meeting, so its report has a place in each board package. When the board goes in camera, for example to discuss the CEO’s own evaluation, that material gets its own meeting, shared only with the in camera group. Health Standards Organization’s governance standard, CAN/HSO 1001:2022, sets out the accountabilities of the board and its committees, and Aprio keeps each meeting’s board package and minutes together by date.
How hard is it to switch to Aprio?
Aprio gives you guided support to help you switch over, so you won’t do it alone. You set up your board, and Aprio’s onboarding team (former board administrators themselves) works through it with you one-on-one. You get two administrator sessions, the second one hands-on as you build your first meeting, then a training session for each director, planned around your next board cycle and clear of any site visit or accreditation survey. Before your first live meeting, the team can review the setup with you.
What does Aprio cost?
Aprio’s plan includes every feature, quoted per organization and itemized, so your board approves it once with no add-ons appearing in year two. Any number of your staff can be administrators. Pricing is the first thing we cover in the demo. Book the demo and you’ll have your number, or see how Aprio pricing works.
Where does Aprio store our data, and who can see it?
Aprio stores your data in your choice of Canada or the United States, and Canadian hosting is guaranteed in your agreement when you choose Canada. Aprio is ISO 27001 certified and SOC 2 Type 2 audited, encrypts board materials in transit and at rest, and supports multi-factor sign-in and single sign-on. You decide who sees each meeting and whether a document can be downloaded or printed, and every signed document carries an audit trail.
